The scene is set. Today’s the day of your event, and the guests are arriving. They’ve grabbed a drink and admired the décor. All the planning, effort, and budgeting has culminated into this one day.

Great events are defined by the guests. A huge contributing factor to the success of your event is whether your guests enjoy themselves. A simple way to ensure they do is to provide entertainment. Music sets a tone. Games offer fun distractions and bonding experiences. A photo-booth allows people to play and create memories.

With so many ways to entertain at an event, we’ve put together a list of the things you should consider when you’re in the throes of putting your own event together and want it to be a rip-roaring success.

The Energy

The energy, it’s such a vague saying. What we really mean by it is – how are your guests feeling. Events change, and so do the people attending them. What is suitable for one, might not work for another. When you are planning entertainment, you need to think about your guests and how you want them to feel. Calm and engaged, energetic and happy? Are your guests going to be dancing, or enjoying a dinner punctuated with ambient sound? Do you need a live performance and bright lights, or do you need something less distracting and more comforting? If you care for and cater to your guests, the energy will take care of itself.

Your Budget

You knew this was going to be on this list, and it’s time we spoke about it. Your budget will impact your entertainment options. But it’s not all doom and gloom. DJ’s, for example, might work out cheaper than a live band, some games, are more cost-effective than others. If the entertainment is the most important thing about your event, then dedicate most of your budget here and find ways to slim down the other expenses. If you don’t have a massive budget, you can still throw an incredible, cost-savvy event. You just need to do your research or have an events planner that’s fully briefed on how much spend you have dedicated to entertainment.

The Kind of Event

The event or function you’re hosting will profoundly impact the kind of entertainment you settle on. For example, if it’s a corporate function, would a DJ be suitable, or would a live band be more appropriate? Again, this relies heavily on your guests and the event that you’re planning. Dinner parties are excellent for live bands, as are weddings, but birthday parties might go over better if there’s a DJ present.

Keep in mind though, that entertainment doesn’t always equate to music, that’s just one facet of it. Games and other activities are also great ideas for specific events, such as staff parties, year-end functions, or team building exercises.

What Do You Want?

This item on our list of ideas for entertaining at events is entirely subjective to the event itself. For example, the music played at your wedding should be a mix of your taste, and what you think your guests will enjoy. On the other hand, corporate events are more about the guests than your personal preferences, and your choice of entertainment should reflect this.

Anything Special?

It’s important that if you’re making use of an events planner for your wedding, engagement party, or a special birthday, that you make them aware of any special details you want to be added regarding entertainment. For example, do you want your first dance to include the same song your parents danced to at their wedding? Or maybe you want your mom’s favourite song played at a specific point during the event. This way, we can make sure that we make the appropriate arrangements.
